The Structural Engineers Association of Davao, Inc. — Visayas Chapter No. 002 (“SEAD Visayas Chapter”, “we”, “us”) respects your privacy and processes personal data in accordance with the Data Privacy Act of 2012 (Republic Act No. 10173), its Implementing Rules and Regulations, and issuances of the National Privacy Commission (NPC).

1. What we collect

When you apply for or upgrade membership through this portal, we collect:

• Identity and contact details — name, birthdate, sex, civil status, nationality, address, email, mobile/landline, messenger handle;
• Professional information — PRC license details, education, work experience, seminars and trainings;
• Supporting documents — copies of your PRC license, diploma or transcript, certificates, letters, membership profile, and proof of fee payment;
• Technical data — basic request information used to keep the portal secure.

2. Why we collect it

• To receive, evaluate, and process your membership application or upgrade in accordance with SEAD membership policies;
• To communicate with you about your application status and chapter matters;
• To maintain the chapter’s official membership records and directory (published entries show your name and membership category only);
• To comply with legal and organizational obligations.

3. How it is stored and protected

• Application details are stored in the portal’s database; submitted documents are stored in the chapter’s official, access-controlled Google Drive.
• Transmission is encrypted (HTTPS). Access is limited to the Membership Committee, the Chairman, the President, and authorized administrators, each with individual accounts and role-based access.
• Documents of applications that are not completed or not approved may be removed after the evaluation cycle.

4. Who we share it with

Your data is not sold or shared with third parties for marketing. It is disclosed only within SEAD (the chapter’s Membership Committee, Board, and the national organization, where required for membership records) and to authorities when required by law.

5. Retention

Records of approved members are retained for as long as membership subsists and as required by organizational records-keeping. Records of unsuccessful or withdrawn applications are retained only as long as reasonably necessary for audit of the evaluation, then disposed of securely.

6. Your rights

Under the Data Privacy Act you have the right to be informed, to access, to correct, to object, to erasure or blocking, to data portability, to damages, and to lodge a complaint with the National Privacy Commission.
